About the Role:
We are looking for a detail-oriented and service-driven Reservations Manager to lead our resort villa booking operations. This role is crucial to maximizing villa occupancy, managing guest inquiries, and ensuring smooth, personalized pre-arrival experiences for every guest.
As a key part of the commercial team, you will manage the end-to-end reservation process, optimize revenue opportunities, and collaborate with Sales, Front Office, and Marketing to deliver exceptional guest satisfaction.
Key Responsibilities:
Reservation Management:
- Handle and oversee all reservation inquiries via phone, email, booking engine, OTAs, and direct channels.
- Ensure accurate recording of guest information, special requests, rates, and promotions in the PMS.
- Manage group and FIT bookings, villa allocations, and block management.
- Respond promptly to booking requests, availability inquiries, and pre-arrival communications.
Revenue & Yield Optimization:
- Work closely with the Revenue and Sales teams to implement rate strategies and packages.
- Monitor daily occupancy, booking pace, and cancellation trends to recommend yield actions.
- Manage inventory across direct channels and OTA extranets (e.g., Booking.com, Expedia, Airbnb).
Team Leadership:
- Supervise and train reservations staff (if applicable), ensuring professional communication and standards.
- Foster a proactive, guest-centric reservation culture that drives conversions and upselling.
- Create and maintain SOPs and ensure consistency across all reservation touchpoints.
Reporting & Analysis:
- Generate daily, weekly, and monthly reports on booking trends, revenue, occupancy, and market segments.
- Analyze booking sources and identify opportunities to improve direct booking performance.
- Track guest preferences and reservation patterns for use in CRM and guest personalization strategies.
Qualifications:
- Minimum 3-5 years of experience in Reservations or Front Office in a luxury hotel, resort, or villa environment.
- Strong knowledge of Property Management Systems (e.g., Opera, Cloudbeds, RoomRaccoon).
- Familiarity with OTA platforms and channel managers (SiteMinder, STAAH, etc.).
- Excellent communication and organizational skills.
- Strong attention to detail and ability to multitask in a high-paced hospitality setting.
- Fluent in English (spoken and written); additional languages are a plus.
Preferred Skills:
- Experience with CRM and direct booking platforms.
- Knowledge of villa-style or boutique property operations.
- Background in customer service, sales support, or revenue management.
- Strong Excel or reporting tool skills.
