About the Role

As a Vendor Management Officer, you will be the primary point of contact and the bridge between our company and our external partners. You will be responsible for managing the entire vendor lifecycle, which includes sourcing, onboarding, day-to-day communication, performance evaluation, and conflict resolution. Your ultimate goal is to ensure that all vendors deliver high-quality services/products on time, within budget, and in full compliance with company standards.

What You Will Do

Vendor Relationship & Communication:

  • Act as the main liaison and maintain strong, professional relationships with all external vendors.
  • Facilitate daily communication, handle inquiries, and bridge any communication gaps between internal teams and vendors.
  • Organize regular alignment meetings to discuss project updates, timelines, and expectations.

Performance & Contract Management:

  • Monitor and evaluate vendor performance against established Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Maintain, track, and manage contract renewals, amendments, and terminations.
  • Ensure vendors strictly comply with company policies, legal regulations, and security standards.

Sourcing & Negotiation:

  • Research, identify, and source potential new vendors to meet the expanding needs of the business.
  • Lead commercial negotiations regarding pricing, payment terms, and delivery schedules to achieve cost efficiency without compromising quality.
  • Conduct the Request for Proposal (RFP) or bidding process for new projects.

Issue Resolution & Risk Mitigation:

  • Actively handle vendor-related disputes, delays, or quality issues, and drive swift resolutions.
  • Identify potential risks in the vendor supply chain and develop mitigation plans to ensure business continuity.

Administration & Reporting:

  • Maintain an up-to-date and organized central database of vendor profiles, contracts, and pricing history.
  • Generate monthly/quarterly reports regarding vendor performance, spend analysis, and cost-saving achievements for management review.

Who We Are Looking For

  • 3–5 years of experience in Vendor Management, Procurement, Purchasing, or Account Management.
  • Bachelor’s degree in Business Administration, Supply Chain Management, Management, or a related field.
  • Strong commercial acumen and proven negotiation skills.
  • Exceptional verbal and written communication skills (proficiency in English is a plus).
  • Highly adaptable with excellent conflict-resolution abilities.
  • Ability to read data, analyze vendor spend, and track KPI metrics.
  • Detail-oriented with strong multi-tasking and contract-management skills.
