We seek a highly organised and proactive Administrative Assistant to provide comprehensive administrative support to our team and ensure the smooth operation of our office. The ideal candidate will be a detail-oriented professional with excellent communication skills and a strong ability to manage multiple tasks efficiently.
The candidate needs to have a proven track record of at least 2 years, with some experience in accounts payable and administrative work within office premises.
The candidate will be deemed more desirable if he or she posseses previous working experience in interior design or construction focused firms.
Qualifications:
Office Management:
Manage and maintain office supplies inventory; place orders as needed.
Ensure the office environment is organized, clean, and welcoming.
Coordinate office equipment maintenance and repairs.
Handle incoming and outgoing mail, deliveries, and packages.
Administrative Support:
Provide general administrative and clerical support, including photocopying, scanning, filing, and data entry.
Draft, edit, and proofread correspondence, reports, presentations, and other documents.
Manage and maintain filing systems (both physical and digital) to ensure easy retrieval of information.
Assist with the preparation of various reports and presentations.
Assist our team with finding and outsourcing suppliers
Assist with accounts payable
Communication & Coordination:
Answer and direct phone calls, taking messages as necessary.
Greet visitors and direct them to the appropriate person or department.
Schedule and coordinate meetings, appointments, and travel arrangements.
Maintain calendars and send reminders.
Facilitate internal and external communication.
Record Keeping:
Maintain accurate and up-to-date records and databases.
Assist in compiling and organizing information for various purposes.
Ad-Hoc Tasks:
Perform other administrative duties as assigned by management to support the overall operations of the company.
Qualifications:
High school diploma or equivalent; Bachelor's degree in accounting preferred.
Proven experience as an Administrative Assistant, Office Assistant, or in a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent written and verbal communication skills.
Strong organizational and time management skills with the ability to prioritize tasks.
High degree of accuracy and attention to detail.
Ability to work independently as well as within a team.
Professional demeanor and strong interpersonal skills.
Ability to handle confidential information with discretion.
