Job Description:
Vendor Management and Procurement:
Search, identify, and contact vendors for various goods and services.
Create purchase orders and track the order process to ensure timely delivery.
Receptionist and Facilities Operations:
Register incoming facility requests from other departments and coordinate necessary arrangements.
Maintain a logbook for daily guest visits and ensure proper documentation.
Handle correspondence and documentation both incoming and outgoing.
Arrange supplies for the pantry, including coffee, tea, and sugar.
Assist in meeting room reservation and setup.
Welcome guests and provide front desk support as needed.
Administrative Support:
Assist with translations between English and Indonesian for effective communication within the team and with vendors.
Handle the sending of documents and letters as required.
Collect documentation for PAS Bandara and TIM, ensuring compliance with relevant regulations.
Administer inventory and orders for office supplies (Alat Tulis Kantor/ATK).
Prepare and distribute uniforms for all staff members.
Oversee daily/weekly laundry checks and ensure cleanliness standards are met.
Prepare snacks and drinks for meetings.
Job Requirements:
Relevant work experience in procurement, operations, or administration would be advantageous. This could include internships or entry-level positions in similar roles.
The ideal candidate should possess the following qualities:
Preferred in fields such as Business Administration, Operations Management, Supply Chain Management, or a related field.
Minimum 3 years experience in related field
Organization: Capable of efficiently managing multiple tasks and responsibilities.
Detail-oriented: Possessing a keen eye for detail to ensure accurate tracking of purchases and documentation.
Excellent communication skills: Able to communicate effectively with team members, clients, vendors, and other departments in both fluent English and Indonesian.
