About the position

Join our team at HITHINK TECHNOLOGY INDONESIA as Personal Assistant (Japanese or Mandarin Speaker). This is a full-time position based in South Jakarta, Jakarta, offering you the opportunity to develop your skills and gain valuable experience in a dynamic, fast-paced technology environment.

Job Desc Summary:

  1. Overseas Assignment Management: Handle employee travel arrangements, including visas, flights, insurance, hotels, expenses, mobile phones, and emergency contacts.
  2. Resource Utilization: Consolidate and verify monthly resource data, prepare utilization sheets.
  3. Contract Management: Manage personnel rosters, agreements, contracts, and work report archives.
  4. Meeting Management: Organize recurring and board meetings, including agendas, logistics, and interpretation.
  5. Client Reception & Support: Arrange itineraries, transportation, accommodation, visas, daily support, expense claims, and data-center tours.
  6. Access Control: Manage access cards, data updates, audits, and visitor permissions.
  7. Email Administration: Maintain mailing lists and distribute company-wide information.
  8. Event Coordination: Support company/division events, awards, project celebrations, and sports activities.
  9. Internal Administration: Oversee office supplies, cards, books, agreements, data backups, reports, reimbursements, gifts, audits, hygiene checks, seating plans, and environmental initiatives.
  10. HR Support: Organize onboarding, training, and orientation follow-ups for new employees.
  11. Other Duties: Perform additional tasks assigned by management.

Qualifications:

  1. Full-time diploma, undergraduate or master's degree graduates, in any majors.
  2. Fluent bilingual communication (Listening/Speaking/Reading/Writing) in Japanese Language (Minimum JLPT N3) or English.
  3. Optional Language Requirements: Mandarin Language (Minimum HSK 4).
  4. Minimum 2 years of in PA roles and administrations.
  5. Experience in managing documentations.
  6. Able to do business travel according to project needs.
  7. Freshgraduates may also apply.

Other Supporting Skill & Experience:

This role requires comprehensive knowledge and skills across several areas, including customer relationship management for building and maintaining strong client connections, business etiquette to ensure professional communication and conduct, as well as familiarity with CMMI and ISO standards for quality and process improvement. It also involves understanding information security and environmental management practices to support compliance and sustainability, along with awareness of corporate culture to align with organizational values and norms. In addition, the role demands basic knowledge of corporate functions such as human resources, finance, and administration to effectively support internal operations.
