Responsibilities
- Conduct payment administration processes related to purchases and services and monitor the PR/PO process route
- Create and monitor the Payment Progress Summary; handle Non-PR/PO items, manage budget allocations in budget and GL accounts, assist clients, and ensure payments and POs to vendors under the managed service arrangement are in place and paid on schedule
- Carry out administrative processes for facility management activities; monitor and follow up on the approval process through the SAP finance system and payment process; monitor and follow up on the status of service contracts
- Monitor electricity and other utility payments
- Monitor rental of office equipment (photocopiers, dispensers, pantry supplies and office supplies)
- Prepare reports for expenditure activities
- Monitor and review team overtime
- Create financial reporting for all facility management services, maintain logbooks and airway bills for mail services
- Implement a centralized archiving system
- Maintain PO documents and invoices
- Maintain service contract documents
- Maintain proof of payment documents for electricity and other utilities
- Maintain office equipment leasing documents (photocopiers, dispensers, pantry supplies and office supplies)
- Save expenditure activity reports
- Utilization FC and safety platform for day-to-day operations
- Manage and monitor the performance of service providers (principal and agency vendors)
- Create weekly reports for soft and hard services activities
- Oversee key services including operational management, control compliances, contract management and client relationship management
- Establish and continually improve the service delivery model to meet response goals and ensure preventive maintenance on system equipment is completed as scheduled
- Measure and monitor Key Performance Goals
- Lead safety and incident escalation on-site and implement an incident reporting procedure
- Drive annual account budget for services under workplace (hard and soft services)
- Provide leadership, mentoring and coaching to staff to ensure high morale and ethics
- Act as a liaison between client management, field personnel and contractors to enhance Health & Safety compliance initiatives
- Prepare monthly meetings and present to the client
