The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).
Job Description
- Providing daily administrative support to the Director, Managers, and HR Department
- Arrange and coordinate meetings, including room preparation and refreshments
- Assisting with visa, passport, and reporting letter processing for employees and vendors
- Prepare supporting documents such as guarantee letters, invitation letters, and sponsor letters for visa applications
- Arranging employee business trips and accommodations
- Monitoring the performance of drivers, cleaning staff, and security personnel to ensure smooth daily operations
- Handling the procurement, management, and maintenance of office assets, pantries, and office stationery needs
- Creating purchase requests (PR) and processing purchase orders (PO) with vendors and suppliers
- Maintaining and managing confidential documents and sensitive company data
- Coordinate monthly and annual company activities and events
- Managing and handling for all visitors, contractors, and guests who come to the company including the administration that starting from appointment, meeting scheduling, booking and prepare room of meeting, until the exit clearance stage
Qualifications
- Minimum bachelor’s degree or diploma from Any Major
- Experienced as Receptionist in manufacturing company for 1 year is preferable
- Good in English (Both speaking and writing)
- Experience in using Microsoft Office like PPT, Word and Excel (Intermediate)
- Self-motivated, enthusiast about dealing with people and has good hospitality is preferable
- Good attitude, collaborative and fast learner is considerable
- Able to do multi-tasking, details oriented and proactive
