The Scheduling Coordinator provides operational and administrative support in a variety of capacities, with a primary focus on scheduling, reviewing, and coordinating JSMA facilities for K-12, university, and community tours and guided visits, as well as related programming. The person in this position assists the Assistant Administrator of Education and Collections Assistant in scheduling and confirming tours; communicating directly with teachers, university faculty, museum colleagues, and docents via email and telephone; organizing and maintaining calendars across multiple departments; and providing other administrative support as needed. Duties also include maintaining data and statistics related to tours, as well as generating weekly reports and sharing them with JSMA staff. This position offers the opportunity to work in a dynamic setting with students, faculty, staff, volunteers, and community members to support the JSMA’s mission and vision. The Scheduling Coordinator will demonstrate enthusiasm to achieve these goals, as well as interest in helping people and working toward an inclusive and diverse environment to promote equity in the workplace. This is a hybrid position to be conducted both remotely and in person as needed to update calendars, familiarize themselves with the museum and ongoing exhibitions, and fulfill additional tasks as assigned. Likewise, the ability to work during regular operational hours (Monday-Friday, between 8:00-5:00) is expected. This position is .5 FTE and is Limited Duration.
Minimum Requirements- Completion of courses or training in Office Technology; OR
- One year of general clerical experience which included typing, Word processing, or other generation of documents; OR
- An equivalent combination of training and experience.
- Experience interacting in customer service settings.
- Strong organizational and time management skills.
- Experience communicating effectively and respectfully with individuals from diverse backgrounds and cultures.
- Experience effectively communicating both in person and in writing.
- Ability to manage tasks with competing demands, set priorities, take initiative, be proactive, and appropriate follow-up when necessary.
- Work both independently and in a collaborative team environment.
- Intermediate to advanced computer skills (e.g. Microsoft or Google).
- Demonstrated experience working within the education, or arts and culture sectors.
- Previous participation in event planning, cross-departmental communications, administration of public-facing programs, or complex logistics management.
