We are seeking a Finance and Administration Coordinator to contribute to the strengthening of Australia-ASEAN relations by providing finance management and general office administration support to the Program.

Aus4ASEAN

Aus4ASEAN Futures builds on the ASEAN-Australia Development Cooperation Program phase 2 (AADCPII), a highly regarded program which has provided support to the ASEAN Economic Community (AEC) for 12 years.

Aus4ASEAN Futures is embedded in the ASEAN Secretariat (ASEC) mobilising resources through an ASEAN trust fund account and using ASEAN procurement systems. This model of partnership and deep integration into ASEAN systems is highly valued by ASEAN and unique to Australia. It demonstrates Australia’s commitment to be responsive to ASEAN priorities and requests, and work as a true partner to ASEAN.

Key responsibilities

  • Support the Operations Team to ensure financial system and procedures are implemented in accordance with the Aus4ASEAN Futures Operations Manual
  • Prepare and submit fund requests to Tetra Tech; record incoming payments and outgoing disbursements; enter records into the Quickbooks accounting system; deposit contributions in the bank, etc.
  • Manage and monitor financial processes and ensure these are compliant with DFAT and Tetra Tech’s financial policies, on payments, cash advances, acquittal, petty cash management, and tax refund, among others
  • Support budget preparation in close coordination with the Operations Lead
  • Ensure the office is equipped for the day-to-day operations
  • Support to Facility Team Members on administration, logistical and financial matters, as required
  • Ensure record and filing systems (including asset register) are developed and maintained

Selection criteria

  • Bachelor’s degree in finance or accounting
  • Minimum 5 years relevant professional experience in managing finances and procurement (prepare budgets, monitor budget versus actuals, administer petty cash and bank transactions) in international development programs
  • Experience in administration/logistics roles including organising high level meetings and workshops/events with government officials
  • Comprehensive computer skills, including Microsoft Word, Excel, Office 365, Outlook and PowerPoint
  • Good communication skills (both verbally and in writing) in English and Bahasa Indonesia
  • Experience working in DFAT-funded programs is desirable
  • Practical knowledge in using accounting software (including Quickbooks) is desirable
